Dear Charleston Conference Speaker,
Thank you for agreeing to participate in this year’s 27th Charleston Conference. Forgive the formality of this letter but please feel free to contact any of us with questions. We are happy to answer whatever we can.
The Charleston Conference, first held in 1980, is designed to be an informal, open, collegial conference where librarians, publishers, vendors, aggregators, consultants and end users, can frankly discuss together the issues that impact our industry. The presentations and interchange should all be oriented toward providing practical, concrete information for practicing professionals.
You can find more about the conference at: http://www.katina.info/conference/. Here is a checklist of things that you really need to know.
1) Please look over the 2007 Tentative Program, Schedule At-A-Glance, and Speaker Listing carefully and let Beth Bernhardt (beth_bernhardt@uncg.edu) or Katina Strauch (kstrauch@comcast.net) know if there are any problems with them. If the title is not the one you wish printed in the program or if you need to change some part of your program, please let us know as soon as possible. We will be making changes to the program continuously.
2) Please send a biography for the conference program using our online form by Friday, October 5th , 2007. Submit a short bio of yourself (50-100 words). Make people feel that they can come up to you and talk. Say something personal about yourself.
3) There will be a data projection unit and Internet hook-up in each meeting room. All rooms will be set up theater style to accommodate the maximum attendees. We do not reset rooms after presentations because of time and expense. We prefer that you bring your own laptop if possible. If you need a laptop or other equipment, please let us know by completing our online Equipment Request Form by Friday, October 5, 2007. Only submit one request per session. The equipment requests are very important for your talk to go smoothly. If you do not turn in your request in a timely fashion, we can’t be sure that we will be able to obtain the equipment.
4) The Francis Marion Hotel has a map of their facilities that shows the layout of their meeting rooms, as well as seating capacity information. Embassy Suites has similar information on their website as well. If you would like to change your room assignment, let Katina or Beth know ASAP. We will do our best to accommodate you.
5) We can include reduced copies of your Power Point presentations or other handouts in the Conference program or on the Conference Website. Please send them as soon as possible to Leah Hinds at <leah@katina.info>.
6) Speakers need to register for the conference. The conference has too many speakers to waive fees and still be viable. Speakers receive the Early Bird Registration Fee at whatever time they register (unless prior arrangements for a reduced or waived fee have been made with th Conference Committee). Please register online as soon as possible. If you register after the Early Bird Deadline (Sept. 28), select "Special" as your registration type, then enter $365 for your reduced fee. If you have a special circumstance that you feel would qualify you for a reduced rate, please contact Katina Strauch.
7) Have you made your hotel reservation? Please do so immediately if you have not. Rooms go fast in downtown Charleston The deadline for room reservations is October 1, 2007. Please see the Conference Website Travel page for room rates and more information on hotel accommodations. The Conference will NOT make hotel reservations for you except in very special circumstances.
8) Please note that the Conference programs begin at 8:00 AM sharp on Thursday morning, November 7, in the Main Ballroom of the Francis Marion Hotel at 387 King Street.
9) Several of the Conference Plenary sessions will be audio taped. If you are a Plenary presenter and have any objection to this, please let us know, or if you would like the tape recorder turned off during some part of your presentation, please let us know that as well. Also, since we are not recording all Plenary presentations, please let us know if you definitely want your session to be recorded. Send a note to leah@katina.info.
The Concurrent sessions and Lively Lunches will not be taped. If you would like for yours to be taped please let Leah Hinds know at leah@katina.info.
10) Libraries Unlimited is again publishing the Charleston Conference Proceedings. Beth R. Bernhardt, editor of the proceedings, will be contacting you regarding inclusion of your presentation in the proceedings after the Conference is over. Papers from the Conference are also being loaded online at www.katina.info/moodle and E-LIS http://eprints.rclis.org/
